We’re seeking a detail-oriented, organized, and proactive Facility and Production Manager to lead our production and fulfillment operations. This role is ideal for someone who thrives in a dynamic production environment, values teamwork, and takes pride in maintaining operational excellence from order to delivery.
Position Overview
The Facility and Production Manager oversees daily facility, production, and fulfillment operations, ensuring all student and retail orders are processed accurately and on schedule. This role is ideal for someone who enjoys diverse responsibilities, keeps work moving, and brings strong initiative to a production environment. You'll guide a small, dedicated team, coordinate across both on-site and remote teams, and ensure that our student lab kits, retail orders, and on-site needs are handled smoothly and on time. The work in this role blends hands-on production, problem-solving, and cross-department communication. Success in this role comes from staying organized, anticipating what's needed next, and maintaining operations with accuracy, energy, and a strong sense of ownership.
The position reports directly to the Chief Operating Officer (COO) and works closely with the Procurement & Inventory Director and GMP and Quality Assurance Coordinator to maintain efficiency, consistency, and quality standards across the facility.
Operations & Daily Production Workflows
- Ensure daily fulfillment of student lab kits, retail orders, and outgoing shipments, including kits and products containing essential oils, dried herbs, and other natural materials.
- Support hands-on production work such as:
- Measuring, bottling, and labeling essential oils.
- Weighing, packaging, and labeling dried herbs.
- Preparing blends, components, and materials for student kits.
- Verify materials, supplies, and natural product inventory are prepped and ready for production in partnership with the Procurement & Inventory Director.
- Process student and retail orders quickly and accurately.
- Respond to production and fulfillment requests and customer emails with timely solutions or updates.
- Serve as the primary on-site contact for facility vendors (maintenance, recycling, supplies, service providers).
- Manage incoming facility mail and route it efficiently.
Team Leadership & Performance
- Supervise and coach the production team to ensure accuracy, speed, and quality are maintained.
- Set clear expectations, support training needs, and help the team stay focused and on schedule.
- Identify and implement improvements and innovations to reduce waste and promote sustainability, strengthen production and fulfillment, and support overall workflow efficiency.
Inventory, Quality & Compliance
- Monitor inventory levels, coordinate restocking, and address shortages proactively with Procurement & Inventory Director.
- Partner with the GMP and Quality Assurance Coordinator to uphold quality standards, labeling accuracy, and compliance requirements across production workflows.
- Participate in physical inventory counts and assist in reconciling discrepancies.
- Maintain a clean, organized, and safe facility that supports efficient work.

Qualifications
- 3+ years of experience in production, fulfillment, or operations management.
- Proven experience managing a team and overseeing daily order fulfillment workflows.
- Experience handling natural products, essential oils, or dried herbs is a strong plus.
- Strong organizational and communication skills, with an ability to balance multiple priorities.
- Experience with inventory management or production tracking systems preferred.
- Working knowledge of Good Manufacturing Practices (GMP) or quality assurance processes is ideal.
- Ability to lift up to 40 lbs and be on your feet for extended periods.
- High attention to detail and commitment to delivering high-quality, on-time results.
